All volunteers, including coaches, assistant coaches, and team managers must have a cleared background check on file before they may volunteer for Hartwell. The background checks are valid for two years.
DO NOT USE YOUR SMART PHONE TO COMPLETE THIS PROCESS. Get on a computer and use either Google Chrome or Firefox. We've seen the most success with those browsers.
HOW TO COMPLETE or REFRESH YOUR BACKGROUND CHECK REQUIREMENTS IN BLUE SOMBRERO (see screenshot below):
Log in and confirm your account name is your FULL LEGAL NAME. Do not use nicknames or initials. Anything other than your legal name will cause an issue with the background check.
Click on "VOLUNTEER" on the left hand panel - NOTE: Give this page at least 30 seconds to fully load. It will look like nothing is happening, but that page is accessing external databases and will need a minute to pull it all together. Once it loads, you will see something like the screenshot below.
If your risk status is not going to expire this year, then you're all set. But if you have an expiration date in the current year, or it is already expired, then check the Risk Statuscheckbox. Then click on "Renew & Update".
For background checks, the system will require your social security number. NOTE: Hartwell and Blue Sombrero/Sports Connect do NOT store your social security number. It is immediately encrypted and transmitted to the vendor for processing.
